8.7 Email markings (Outlook)
Email markings are set separately from document markings. They are written into the message body when the label is applied, in classic Outlook (COM add-in) and in the Outlook web add-in (new Outlook, Outlook on the web, Outlook for Mac).
| Field | What it does | Default / allowed values |
|---|---|---|
| Email header marking | Text inserted at the top of the body. | Empty means none. Email markings do not fall back to the document header. |
| Alignment (header) | Alignment in HTML messages. Ignored in plain-text messages. | Center. Options: Left, Center, Right. |
| Email footer marking | Text inserted at the bottom of the body. | Empty means none. |
| Alignment (footer) | As above. | Center. |
| Subject marking (optional) | Prefix added to the start of the subject, for example
[CONFIDENTIAL]. |
Empty means the subject is not changed. |
| Email marking font | Font of the body markings. | Default (document font, else Calibri). Same list as the document font. |
| Font size (pt) | Size of the body markings. | Empty means the document size, else 10. 6 to 96. |
| Email marking color | Colour of the body markings. | Empty. The colour comes from the first value that is set:
Email marking color, Marking color,
the label Color, then #C00000. Use
label color clears it. |
Behaviour:
- In HTML messages each marking is a card: a coloured stripe on the left in the marking colour, on a light tint of that colour. Classic Outlook and the web add-in draw the same card.
- In plain-text messages the marking is a separate line at the top or bottom, separated by a blank line.
- When the label changes, and in reply and forward chains, existing Ada body markings are removed first, so markings do not pile up.
- For the subject, the subject markings of all labels in the policy are stripped from the start of the subject before the current one is added.
